How we hold the papers you send
This notice explains how Web Work Base handles personal information. It should be read with our cookie notice.
Data controller
Web Work Base is the controller of enquiry data you send through this website and of our own client records. For applicant files contained in a vacancy pack, your organisation remains the controller; we process those files only to deliver the engagement.

What we collect
- Enquiries: name, email, organisation, chosen reading type, approximate applicant numbers, and your message.
- Engagements: contact details of convenors, invoices, and the vacancy documents you supply.
- Applicant files: only when you send them as part of a paid reading. Those files may include names, work history, and other details candidates gave you.
- Site technical data: essential cookies as described in the cookie notice; analytics cookies only if you accept them.
We do not seek health records, union membership, or other sensitive information. If an application file contains such material because a candidate included it, we still treat the whole file as confidential client material.
Why we hold it
Enquiry data is used to reply and to quote. Engagement records are used to deliver the reading, invoice, and follow up. Applicant files are used solely to score and brief the vacancy you named.
Retention
Enquiry records that do not become engagements are kept for twenty-four months, then deleted. Briefings and related working notes are kept for seven years to meet ordinary professional record needs, unless you instruct earlier secure destruction after the vacancy is closed. Applicant source files may be returned or destroyed on written request once the briefing is delivered, subject to any legal hold you notify.
Your rights
Under the Privacy Act 1988 (Cth) and, where applicable, the Australian Privacy Principles, you may request access to personal information we hold about you, correction of inaccurate records, and information about how we have used or disclosed that information. Applicants seeking access to their own files should contact the employer who collected the application; we will cooperate with that employer’s lawful instructions.
To make a privacy request, write to hello@webworkbase.digital. We aim to respond within thirty days. You may complain to the Office of the Australian Information Commissioner if you are not satisfied.
International transfers
Our ordinary practice holds files in Australia. If a subcontractor or email host stores a copy outside Australia, we take reasonable steps to ensure comparable protection and will say so in the engagement letter where that is material.
Security
Paper packs are kept in the North Terrace reading rooms. Electronic packs are stored with access limited to named readers on the engagement. We do not publish application files on this website.
